Before a large event
A checklist for conferences and events with many attendees.
Checklist
- Create the session in advance with its languages and attendees, check the rate it shows, and make sure your balance covers the day and the summary.
- Enter the expected attendees. During the session you can raise the Attendee limit in the console if people are waiting.
- Test the join link and the live captions on the venue's network beforehand.
- Sign in on the speaker's device before the event, press Turn on microphone, choose the input and check the level. Nothing is charged until you press Start.
- With several devices open on the same session, the Devices panel shows which one holds the microphone; press Use this device's microphone on the one that should.
- Use one session per room and pause it during breaks. A session ends by itself after 12 hours of live time; for a longer day, end it and start another.
- Import the programme and add the speakers' names to the glossary before you create the session.
- Tell the audience that the captions and translations are made by AI: the Acceptable Use Policy has a notice you can adapt.
- Where accuracy is critical, such as medical, legal or safety information, also book a qualified interpreter.
