Acceptable Use Policy
Last updated 15 October 2026
Operated by HOLOCORE PTY LTD (ABN 69 701 232 822).
This Acceptable Use Policy forms part of the HoloTalk Terms of Service. It applies to everyone who uses HoloTalk: account holders, hosts of sessions, people who join a session as attendees or on a projector screen, and people who receive a session summary. Words defined in the Terms of Service have the same meaning here.
1. Use HoloTalk lawfully
1.1You must use HoloTalk only for lawful purposes and in accordance with the Terms of Service and this policy.
1.2You must not use HoloTalk to capture, transcribe, translate, upload, store or share speech or other content in a way that breaks any law, including the surveillance devices, listening devices and privacy laws of the Australian states and territories and of any other place where a session takes place or its participants are located.
2. Consent of the people whose speech is captured
2.1If you host a session or upload a recording, you must, before the session starts or before you upload:
- (a)tell everyone whose speech may be captured that HoloTalk transcribes what is said, translates it and may summarise it, using artificial intelligence services, some of which are located outside Australia; and
- (b)obtain any consent that the law requires for their speech to be listened to, transcribed or recorded.
2.2You must not use HoloTalk to capture a private conversation without the consent the law requires, or to capture speech covertly.
2.3If a participant asks not to be captured, you must pause the session while they speak or otherwise respect their request, unless the law allows you to do otherwise.
2.4You must share a session's transcript, translations and summary only with people who took part in it, or with others where the people whose speech it contains have consented or the law otherwise allows it.
2.5The notice for participants in clause 6 may help you meet clause 2.1(a). Using it does not by itself satisfy every law that may apply to your session.
3. Content
You must not use HoloTalk to capture, upload, generate, store or share content that:
- (a)infringes anyone's copyright, trade mark, confidential information or other rights, including a recording or a document you do not have the right to use;
- (b)is defamatory, harasses, threatens, intimidates or vilifies a person or group, or incites violence;
- (c)depicts or promotes the sexual exploitation or abuse of children, or is otherwise objectionable or illegal to possess or distribute;
- (d)promotes terrorism or violent extremism;
- (e)discloses another person's personal or sensitive information without a lawful basis; or
- (f)is intended to deceive, defraud or impersonate any person or organisation.
4. Representations to others
4.1Captions, translations, summaries and answers produced by HoloTalk are generated automatically. You must not represent them to others as the work of a human interpreter, translator or captioner, or as accredited, certified or verbatim interpreting, translation or captioning.
4.2You must not offer HoloTalk as the only means of communication where an error in captions or translation could put a person's health, safety, legal rights or access to essential services at risk, such as medical consultations, legal proceedings, emergency instructions or safety briefings. In those settings you must also provide a qualified interpreter or another reliable means of communication.
5. Security, limits and fair use
You must not:
- (a)access or attempt to access any account, session, transcript or data that you are not authorised to access, including by guessing or sharing join codes or invitation links that were not given to you;
- (b)probe, scan or test the vulnerability of HoloTalk, or breach or circumvent any security or authentication measure, except with our prior written permission;
- (c)circumvent any usage limit, credit check, rate limit, attendee limit or other technical restriction;
- (d)create accounts by automated means, create multiple accounts or use disposable or alias email addresses to obtain signup bonuses, referral rewards or other credits more than once, or refer your own accounts;
- (e)send automated or excessive traffic to HoloTalk, connect automated clients to a session, or carry out load or performance testing, except with our prior written permission;
- (f)scrape, harvest or copy content or data from HoloTalk by automated means;
- (g)copy, modify, decompile, reverse engineer or create derivative works of HoloTalk's software, except to the extent the law permits despite this restriction;
- (h)resell, sublicense or provide HoloTalk to others as a service, or use it to build a competing service, except with our prior written permission; or
- (i)introduce any virus, malicious code or other harmful material, or interfere with or disrupt HoloTalk, its providers or other people's use of it.
6. Notice for participants
Hosts may show or read the following notice, adapted to their session, before a session starts:
This session uses HoloTalk to show live captions and translations. What is said is processed by artificial intelligence services, some of them outside Australia, to produce the captions, translations and a summary, and a transcript is kept by the organiser. Captions and translations are generated automatically and may contain errors. If you do not want your words to be captured, please tell the organiser before you speak.
7. Reporting a breach
If you become aware of a breach of this policy, or of content on HoloTalk that you believe is unlawful, please tell us at admin@holotalk.holodata.au. Please include the session's join code or the page address, if you have it, and a description of the concern.
8. What we may do
8.1If we reasonably believe that this policy has been breached, we may take action that is reasonably necessary and proportionate to the breach, which may include:
- (a)removing or disabling access to content;
- (b)ending or pausing a session;
- (c)removing credits that were obtained in breach of clause 5(d);
- (d)suspending or closing the account concerned, in accordance with the Terms of Service; and
- (e)reporting the matter to law enforcement or other authorities, and cooperating with them, where we are required or permitted by law to do so.
8.2Where it is reasonable and lawful to do so, we will tell you before we act and give you an opportunity to respond. We may act without notice where the breach is serious, where there is a risk of harm to any person or to HoloTalk, or where the law requires it.
9. Changes to this policy
We may update this policy to reflect changes in the law, in HoloTalk or in the risks we see. We will publish the updated policy with its effective date, and tell account holders about material changes in advance in accordance with the Terms of Service.
